PDF/A vs PDF: choose and validate the required archival format

PDF is a general document format. PDF/A defines archival profiles with additional constraints intended for long-term preservation. A filename ending in .pdf does not identify a PDF/A profile, and ordinary PDF processing does not automatically create a conforming archival file.

Start with the receiving archive's requirement

Ask for the exact PDF/A part and conformance level, whether attachments are allowed, and whether the archive performs its own validation. Do not choose a profile only because it has a higher number. The receiving workflow determines which forms, features and accompanying files are acceptable.

Use export and validation as separate steps

  1. Keep an editable source and the original PDF.
  2. Export with an application that explicitly supports the requested PDF/A profile.
  3. Validate the exact exported file with a dedicated tool. veraPDF provides validation across PDF/A parts and conformance levels.
  4. Review reported failures rather than changing a metadata label to claim conformance.
  5. Revalidate after later edits, merging, compression or layout changes. Validation of an earlier copy does not cover a new output.

What PDF Tools Club can and cannot establish

PDF Info can help inspect basic properties, but it is not a PDF/A validator. None of the current tools should be treated as a certified PDF/A conversion service. Removing metadata or rasterizing pages is not a shortcut to archival conformance.

Keep three questions separate

An archive may require PDF/A, a user may need an accessible document, and a recipient may need a verifiable digital signature. These are separate properties. Passing a format validator does not prove correct wording, usable reading order or institutional acceptance. Read the accessibility guide for human and structural checks.

Keep the evidence with the final file

Store the requested profile, validator version and validation result alongside the precise released document. If a later processing step is necessary, preserve the accepted original and repeat the required checks on the new copy.
